1. Packaging Terms

1.1 Standard Packaging

We adhere to strict packaging standards to ensure the safety and integrity of our fabric products during transportation. Generally, our fabrics are neatly rolled onto sturdy paper tubes (diameter: 3 inches/76mm as standard, customizable upon request) and fully wrapped with 3-layer waterproof and dustproof plastic film. Each roll is labeled with clear product information, including product name, specification (material, width, weight), order number, batch number, and net/gross weight.

1.2 Customized Packaging

If you have specific packaging requirements (e.g., special paper tube size, color-coded packaging, logo printing on plastic film, or individual carton packaging for small rolls), please inform us in detail when placing the order. Custom packaging may involve additional costs and a slightly extended production cycle, which we will confirm with you in advance.

1.3 Packaging for Bulk Orders

For bulk orders (over 500 rolls), we consolidate the rolls onto wooden pallets (size: 120cm×80cm) for easier loading and unloading. The pallets are wrapped with stretch film and secured with straps to prevent shifting during transit. We can also provide fumigation certificates for wooden packaging if required for international shipping.

2. Payment Terms

2.1 Standard Payment

  • Payment Method: Telegraphic Transfer (T/T).

  • Payment Ratio: 30% of the total order amount as a deposit to confirm the order and start production; 70% of the balance shall be paid against the copy of the Bill of Lading (B/L) provided by us.

  • Deposit Deadline: The deposit should be paid within 3 working days after the issuance of the Proforma Invoice (PI) to avoid delays in production scheduling.

2.2 Shipping Sample Confirmation

Before you pay the balance, we will send you shipping samples (1-2 meters per style, consistent with the bulk product specifications) via international courier (DHL, FedEx, UPS, etc.). You can verify the quality, color, and other key attributes of the product. Once you confirm the samples are acceptable, please proceed with the balance payment within 5 working days.

2.3 Alternative Payment Terms

For long-term cooperative customers or large orders (total amount over USD 50,000), we can negotiate alternative payment terms (e.g., L/C at sight, partial payment in installments) based on mutual trust and credit evaluation. Please contact our sales team for specific negotiations.

3. Delivery Terms

We offer flexible delivery terms to meet different logistics needs of our customers, including:
  • EXW (Ex Works): The goods are available for pickup at our factory in Xiamen. You are responsible for arranging transportation, customs clearance, and all related costs and risks. We will provide necessary documents (e.g., commercial invoice, packing list) to assist you.

  • FOB (Free On Board): We deliver the goods to the designated port of shipment (Xiamen Port or Quanzhou Port) and load them onto the vessel nominated by you. We are responsible for the local transportation and loading costs in China; you bear the ocean freight, insurance, and all risks from the port of shipment onwards.

  • CFR (Cost and Freight): We are responsible for the cost of the goods and the ocean freight to the designated port of destination. You bear the insurance cost and all risks from the time the goods are loaded onto the vessel.

  • CIF (Cost, Insurance, and Freight): We cover the cost of the goods, ocean freight, and insurance (minimum coverage: All Risks) to the designated port of destination. You are responsible for customs clearance at the destination port and subsequent costs and risks.

  • DDU (Delivered Duty Unpaid): We deliver the goods to the designated place in the destination country/region (excluding customs duties and taxes). You are responsible for paying customs duties, taxes, and completing customs clearance procedures, as well as any subsequent costs and risks.

4. Delivery Time

4.1 Standard Delivery Time

  • For regular products with stock materials: The production cycle is 15-20 working days after we receive your advance payment (deposit). The total delivery time (including production and shipping) depends on the shipping method and destination, usually 25-40 days for international shipments.

  • For customized products (based on samples or technical drawings): The production cycle is 20-30 working days after deposit receipt and sample confirmation (if pre-production sample is required).

4.2 Factors Affecting Delivery Time

  • Order Quantity: Large orders (over 10,000 meters) may require an additional 5-10 working days for production.

  • Material Availability: If the required raw materials are not in stock, the delivery time will be extended by 7-15 working days (we will inform you of the estimated lead time when quoting).

  • Seasonal Factors: During peak production seasons (March-May and September-November), the delivery time may be delayed by 3-5 working days due to high order volume.

4.3 Delivery Time Confirmation

We will provide you with a detailed production schedule and estimated delivery date (ETD) after receiving your deposit. We will update you on the production progress weekly, and inform you immediately if there is any delay due to unforeseen circumstances (e.g., raw material shortages, natural disasters).

5. Custom Production

5.1 Acceptable Customization Basis

We welcome custom production to meet your specific needs. You can provide:
  • Physical Samples: Send us your fabric sample (minimum 0.5 meters), and we will analyze its material composition, structure, color, and other parameters to replicate the product.

  • Technical Drawings: Provide detailed technical drawings including material specifications (e.g., 100% cotton, polyester-cotton blend), weave structure, weight (g/m²), width (cm/inch), color code (e.g., Pantone, RAL), and any special functional requirements (e.g., waterproof, flame-retardant, anti-static).

5.2 Pre-Production Sample (PPS)

For custom orders, we strongly recommend producing a pre-production sample first. The sample will be made according to your requirements, and you can test and confirm its quality before mass production.
  • Sample Lead Time: 5-7 working days after receiving your sample/drawings and confirmation of sample details.

  • Sample Cost: The pre-production sample cost ranges from USD 50 to USD 200 per style (depending on complexity and material cost), which will be deducted from the total order amount if the order quantity reaches 500 meters or more.

  • Sample Confirmation: You need to confirm the pre-production sample within 3 working days after receiving it. If modifications are required, we will adjust and re-send the sample until it meets your requirements (additional modification time may be needed).

6. Sample Policy

6.1 Free Samples

  • We provide free stock samples (1 meter per style) if the requested fabric is available in our stock.

  • The customer is responsible for bearing the courier cost (usually USD 30-50 for international shipping, depending on the destination country/region). You can provide your courier account number (DHL, FedEx, etc.) for us to arrange shipment, or we can quote the courier cost and you pay it together with other fees.

6.2 Paid Samples

  • If you need samples longer than 1 meter (up to 5 meters per style), you need to pay the sample cost (calculated based on the bulk product unit price) plus the courier cost.

  • For non-stock products or custom samples (not available in stock), the sample cost and courier cost are borne by the customer (sample cost is quoted separately based on product specifications).

6.3 Sample Delivery Time

  • Stock samples: Shipped within 2-3 working days after receiving the courier cost or your courier account information.

  • Non-stock/custom samples: Shipped within 5-7 working days after sample production and receipt of relevant fees.

7. Quality Control & Inspection

7.1 Pre-Delivery Inspection

We have a professional quality control (QC) laboratory and a team of experienced inspectors. All products undergo 100% inspection before delivery, including:
  • Material Inspection: Verify the material composition, weight, and thickness to ensure consistency with the order requirements.

  • Visual Inspection: Check for defects such as stains, holes, uneven weaving, color differences, and unqualified stitching (if applicable).

  • Functional Testing: For fabrics with special functions (waterproof, flame-retardant, etc.), we conduct corresponding tests in the laboratory to ensure they meet the specified standards (e.g., ISO, AATCC, GB).

7.2 Inspection Report

Upon request, we can provide a detailed inspection report (including test data, photos of the inspected products, and pass/fail results) for your reference. The inspection report is issued by our QC department and is valid for the corresponding batch of products.

7.3 Third-Party Inspection

If you require third-party inspection (e.g., SGS, BV), please inform us in advance. We will cooperate with the third-party inspector to arrange the inspection at our factory or the port of shipment. The cost of third-party inspection is borne by the customer, and the inspection time should be scheduled within the production cycle to avoid delaying delivery.

9. Additional FAQs

9.1 Minimum Order Quantity (MOQ)

  • The standard MOQ for regular products is 300 meters per style/color.

  • For custom products, the MOQ is 500 meters per style/color (negotiable for special cases, such as small-batch trial orders).

9.2 Color Fastness

All our fabrics meet international color fastness standards (usually grade 3-4, which means no obvious fading or discoloration after washing, rubbing, or exposure to light). We can provide color fastness test reports upon request.

9.3 Eco-Friendly Certifications

We offer eco-friendly fabric options (e.g., organic cotton, recycled polyester) that comply with international certifications such as GOTS, OEKO-TEX Standard 100, and REACH. If you need certified products, please specify when consulting.

9.4 Returns & Exchanges

  • We do not accept returns or exchanges for non-quality issues (e.g., change of mind, incorrect order specifications provided by the customer).

  • For quality issues confirmed by our inspection, we will arrange returns, exchanges, or refunds according to the agreement. The customer needs to keep the original packaging and products intact to facilitate the return process.
